An AI assistant for your own procedures: fewer 'quick questions'

Staff keep asking the same how-do-I questions. How SEQ small businesses can set up an AI helper that answers from their own procedures, with a person in charge.

Every small business has a person who knows how everything works. Where the spare keys live, how to process a refund, what to do when the booking system double books someone.

That person is usually the owner or a long-serving team member. And they get interrupted all day with "quick questions" that are never quite as quick as they sound.

AI can take a lot of that load off, as long as it answers from your way of doing things and not from the internet at large.

    Why the questions keep coming

It is rarely because staff are not paying attention. More often it is one of these:

    • The answer is written down somewhere, but nobody can find it. It is in a shared drive folder, an old email or a laminated sheet behind the counter.
    • The written version is out of date. So people ask, just to be safe.
    • New starters do not know what they do not know. The first few weeks are a stream of small questions, each one fair enough on its own.

The result is the same. Your most experienced people spend a chunk of their week as a help desk.

What a procedures assistant actually does

The idea is simple. You gather the documents that explain how your business runs, and an AI assistant answers staff questions using only those documents.

    1. Start with what you already have. Checklists, how-to notes, policy documents, templates and the answers you keep giving out by email. They do not need to be polished.
    2. The assistant answers from your material. A team member asks "how do I process a partial refund?" and gets the steps from your own refund procedure, with a link to the source document so they can check it.
    3. It says when it does not know. If the answer is not in your documents, it should say so and point the person to whoever owns that area, rather than guessing.
    4. Gaps become a to-do list. Questions it could not answer get logged, so once a fortnight someone can write the missing procedure. Over time the documentation gets better because people are using it.
    5. It lives where your team already works. That might be a chat window on the staff intranet, a channel in your team chat app or a simple page on a tablet out the back.

For a real estate office, that could mean questions about the trust accounting steps for a bond lodgement, how to set up a new listing in your CRM or what goes in the routine inspection pack. For a trade business it might be job safety checklists, supplier account details or how to log variations.

    Guardrails that matter

    • Keep it internal. This is a staff tool. It should sit behind a login and never be exposed to customers.
    • Be careful with sensitive material. Leave out payroll, personal staff records and anything covered by a confidentiality obligation unless there is a clear reason and the right access controls. Use tools that do not train on your data. Our AI and customer data privacy checklist covers the basics.
    • Regulated steps still need a check. For anything with compliance attached, such as trust accounts or safety procedures, the assistant can point to the right process, but a qualified person stays responsible for the outcome.
    • Give each document an owner. Someone needs to update the source when a process changes, or the assistant will confidently repeat the old way. A one-page AI policy is a good place to write that down.

    What it will not fix

If your procedures only exist in someone's head, an assistant has nothing to work from. The first job is getting the knowledge written down, even roughly. The good news is that AI is quite good at helping with that too, for example turning a recorded walkthrough into a draft checklist for someone to review.

    How to start small

For one week, ask your go-to person to jot down every question they get asked. At the end of the week, you will have a short list of the topics that matter most. Write or tidy those procedures first, and you have the starting library for an assistant, plus better documentation whether you use AI or not.

    Our honest take

A procedures assistant will not replace the experience of your best people. What it can do is stop them repeating themselves, help new starters find their feet faster and make the knowledge in your business less fragile.

At Cloud Inn we design, build and run practical AI systems for service businesses and real estate agencies across South East Queensland, on fixed fees and with a human in the loop. If you would like to talk through whether a procedures assistant makes sense for your team, book a 30-minute call and we will give you a straight answer.
