Following up quotes with AI: win more of the jobs you already priced

Quotes that go quiet are work you have already paid for. How trades and service businesses can use AI to follow up on time, politely, with a person in charge.

Every quote you send has already cost you something. A site visit, a measure-up, an hour at the kitchen table after dinner working out materials and labour. Then the quote goes out, the customer says "thanks, we will have a think", and nothing happens.

Sometimes they chose someone else. Often they just got busy. A short, friendly follow-up at the right time can be the difference between a quiet quote and a booked job, yet it is the step that slips most when you are flat out.

This is a good job for AI. Not because it sells better than you, but because it remembers.

    Why quote follow-up slips

Ask anyone who quotes for a living and the reasons are familiar:

    • No system. Quotes live in an inbox, a quoting app and a notebook, so nobody has one list of what is still open.
    • Awkwardness. Following up can feel pushy, so it gets put off until it feels too late.
    • Timing. The best moment to check in is often a few days after the quote, which is exactly when you are busy on the next job.
    • Inconsistency. Some customers get three calls, others get none, depending on how the week went.

None of that is a sales skills problem. It is an admin problem, and admin is where AI earns its keep.

    A simple AI-assisted follow-up workflow

Here is a version that suits a small trade or service business, using the quoting or job management tool you already have.

    1. Every sent quote lands on one list. The system keeps a running record of open quotes: who, what, how much, when it was sent, and any notes from the site visit.
    2. AI drafts a check-in at sensible intervals. For example, a short message a few days after sending, and another a week or so later if there is no reply. Each draft uses your notes, so it can mention the actual job ("the retaining wall along the back fence") rather than sounding like a form letter.
    3. You approve, or it sends within rules you set. Some owners like to glance at every message first. Others are happy for routine check-ins to go out automatically, using wording they signed off once. Either way, you decide.
    4. Replies come back to a person. If a customer asks a question, wants to change the scope or says no thanks, the system flags it for you and stops the sequence. AI does not negotiate price or promise dates.
    5. Closed quotes get tidied. Won, lost or gone quiet, each quote gets marked, so your open list stays honest.

Keep it human and keep it honest

A few guardrails make the difference between helpful and annoying:

    • Do not overdo it. Two or three friendly check-ins is usually plenty. Always make it easy for someone to say "no thanks" and then respect it.
    • No fake urgency. Avoid invented deadlines or "prices going up Friday" lines unless they are true. Misleading claims can breach Australian Consumer Law, and they damage trust anyway.
    • Respect the rules on messages. Following up a quote someone asked for is different from marketing to them. If you add promotional content to follow-ups, Australia's spam rules on consent and unsubscribing apply.
    • Look after customer data. Names, addresses and phone numbers are personal information. Use tools that do not train on your data. Our AI and customer data privacy checklist covers the basics.

    What it will not fix

AI follow-up will not rescue a quote that was too high, too slow or too vague. If customers keep going quiet, that pattern is useful information: maybe quotes need to go out faster or explain what is included more clearly.

    How to start small

Pull up the quotes you sent last month that never got an answer. Draft one friendly check-in for each, with or without AI, and send them. Note how many replies you get. If even one or two turn into work, an automated version is probably worth setting up properly.

    Our honest take

The best follow-up sounds like you, arrives at the right time and never feels like pressure. Most small businesses just do not have the hours to do it consistently, and that is the gap AI can fill.

At Cloud Inn we design, build and run practical AI systems for trades, service businesses and real estate agencies across South East Queensland, on fixed fees and with a human in the loop. If you would like to talk through what quote follow-up could look like in your business, including whether it is worth automating at all, book a 30-minute call and we will give you a straight answer.
