A listing appraisal is often the moment a vendor decides who they trust with the biggest sale of their life. Yet the prep usually happens in the car park, or late the night before: pulling recent sales, rereading the enquiry notes, trying to remember what the owner said on the phone about the renovation.
Good agents win appraisals because they listen well and price honestly. AI will not do either of those for you. What it can do is take the repetitive prep off your plate, so you walk in organised and spend your energy on the conversation.
Where the prep time actually goes
Ask a few agents and the list is usually similar:
- Gathering what you already know. The original enquiry, call notes, any past contact with the owner, and anything your CRM has on the property.
- Pulling comparable sales. Searching your data provider, filtering out the poor matches, and noting why each one is or is not relevant.
- Writing it up. Turning all of that into something you can glance at before the door opens, and something tidy to leave behind or send afterwards.
- Following up. A thank-you email, the written appraisal, and a reminder to check in.
Most of that is collating and drafting, which AI is genuinely good at.
A practical AI-assisted workflow
Here is a simple version that suits small agencies. It needs structure more than new software.
- Booking triggers a prep brief. When an appraisal lands in the calendar, the system gathers the enquiry, call notes and CRM history for that owner and property into one short summary: who they are, what they have told you, what they seem to care about (timing, price, a sea change, a deceased estate).
- You add the comparables. Pull sales from the data provider you already pay for, then let AI help sort and summarise them into a clean table with plain English notes, like "similar land size, older kitchen, sold before the recent rate change". You choose which ones belong. The AI just tidies.
- AI drafts your talking points. A one-page brief: property highlights from the notes, likely questions from the owner, and gaps you should ask about on the day.
- After the visit, AI drafts the follow-up. You speak or type a few lines of notes in the car. The system turns them into a draft thank-you email and the first version of the written appraisal for you to edit and send.
Every step keeps a person in the loop. Nothing goes to an owner without you reading it first.
What AI should not do here
This is the part worth being clear about.
- It should not set the price. A price range is a professional judgement based on the property, the market and what you saw on the day. AI can format the evidence. The recommendation is yours.
- It should not invent sales or features. AI tools can produce confident text that is simply wrong. Every comparable needs to come from your actual data source, and every property claim from your own notes or inspection.
- It should not make promises. Price opinions given to sellers carry professional and legal obligations, including Australian Consumer Law rules on misleading conduct. Keep the wording in templates your principal has signed off.
- It should not wander off with your data. Owner names, phone numbers and personal circumstances are personal information. Use tools that do not train on your inputs and keep data in places your agency controls. Our AI and customer data privacy checklist can help.
How to start small
You do not need the full workflow on day one. Pick the step that annoys you most, whether that is the night-before scramble, written appraisals sitting in drafts, or messy comparables. Try it on your next five appraisals and note the time spent and anything you had to fix. If the drafts need heavy editing every time, the setup needs adjusting, or that step is not worth automating yet.
Our honest take
AI will not win you a listing. Turning up prepared, listening carefully and giving an honest price will. What AI can do is make sure the preparation actually happens, even in a week with six appraisals and two settlements.
